Terms and Conditions
Last updated: October 11, 2026
1. The agreement
These Terms and Conditions (“Terms”) are a binding agreement between you and Syncore Online LLC (“Syncore”). They apply when you visit vestaflo.com, use the VestaFlo front desk, use the VestaFlo resident apps, or otherwise use the services Syncore provides under the VestaFlo name (the “Services”).
By creating an account, signing in, or continuing to use the Services, you agree to these Terms and to the Privacy Policy. If you use the Services for a building, you also confirm that you have authority to bind that building.
If you do not agree, do not use the Services.
2. Who is protected
“Associates” means Syncore’s members, managers, officers, directors, employees, contractors, agents, advisors, affiliates, successors, and assigns, and any person or company working with Syncore to provide, support, or host the Services.
These Terms protect Syncore Online LLC and its Associates. Limits on liability, disclaimers, releases, and your duty to indemnify apply to Associates to the fullest extent the law allows. Except where the law does not permit it, claims about the Services must be brought against Syncore Online LLC, not against an Associate personally.
3. What VestaFlo is
VestaFlo is software that lets a building’s front desk and its residents keep a shared record of messages, packages, requests, reservations, notices, and related building work.
Syncore provides the software. Syncore is not the condominium, the property manager, the landlord, a security company, a parking operator, or a payment processor. The building and its staff decide who is approved, what a notice says, whether a request is done, how guest parking is handled, and how the building’s own rules are enforced.
4. Accounts
Staff accounts are for people the building authorizes to work the desk. Resident accounts are for people tied to an approved unit. You must give accurate information and keep your password confidential.
You are responsible for activity under your account. Tell the desk or Syncore promptly if you believe the account has been misused. Syncore may refuse, suspend, or close an account that is inaccurate, unused, or used in violation of these Terms, and a building may withdraw a resident’s approval.
5. Building operations
Records in VestaFlo, including messages, package logs, parking entries, reservations, violations, and notices, are operational records of the building. The building is responsible for the accuracy of what its staff enter and for decisions made from those records.
Charges a building collects, including guest parking, are between the payer and the building. Syncore does not hold those funds and is not a party to that payment.
6. Acceptable use
You will not:
- Use the Services for anything unlawful, misleading, or outside the purpose of running or living in the building
- Attempt to access another unit, another building, or an account that is not yours
- Interfere with the Services, probe them for weaknesses, or bypass a limit or approval
- Upload content you do not have the right to share, or content that is abusive, defamatory, or infringing
- Copy, resell, or build a competing service from the software, except as these Terms allow
7. Your content
You keep ownership of the information and files you submit. You grant Syncore a license to host, display, and process that content so the Services can operate for you and your building, including sharing it with authorized staff and service providers as the Privacy Policy describes. You represent that you have the rights needed to grant that license.
8. Syncore’s property
The Services, including the software, design, text, and the VestaFlo name and marks, belong to Syncore Online LLC or its licensors. These Terms give you a limited, revocable, non-exclusive right to use the Services for a building that has access. They do not sell or transfer any ownership in the software.
9. Fees
Fees Syncore charges a building, if any, are set in a separate agreement or order with that building. Those commercial terms control if they conflict with this section. Residents are not charged by Syncore for the resident app unless the building’s agreement says otherwise.
10. Privacy
The Privacy Policy explains what information the Services handle. It is part of these Terms. The building’s own privacy duties to its residents remain the building’s responsibility.
11. Disclaimers
The Services are provided “as is” and “as available.” To the fullest extent the law allows, Syncore and its Associates disclaim all warranties, whether express, implied, or statutory, including warranties of merchantability, fitness for a particular purpose, title, and non-infringement.
Syncore does not warrant that the Services will be uninterrupted, error-free, or that a message, package, reservation, notice, or payment record will be received, accurate, or acted on in time. Building access, safety, parking, and property decisions remain with the building.
12. Limitation of liability
To the fullest extent the law allows, Syncore and its Associates are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost data, lost access, or building disputes, even if advised of the possibility.
To the fullest extent the law allows, the total liability of Syncore and its Associates for all claims arising out of the Services or these Terms will not exceed the fees you or your building paid to Syncore for the Services in the twelve months before the claim, or one hundred U.S. dollars if no such fees were paid.
Some places do not allow certain limitations. In those places, the limits apply to the maximum extent permitted.
13. Your responsibility to cover us
You will defend, indemnify, and hold harmless Syncore Online LLC and its Associates from claims, damages, losses, and reasonable legal costs arising out of your use of the Services, content you submit, your violation of these Terms, or a dispute between you and a resident, guest, staff member, or building. If you use the Services on behalf of a building, that building takes on this duty for the acts of its staff.
14. Ending access
You may stop using the Services at any time. Syncore or the building may suspend or end access if these Terms are broken, if the building’s agreement ends, or if continued access would create a security or legal risk. Sections that by their nature should survive, including ownership, disclaimers, liability limits, indemnity, and the protection of Associates, survive the end of access.
15. Changes
Syncore may update these Terms by posting a revised version on this page and changing the “Last updated” date. If you continue to use the Services after the update, you accept the revised Terms. If a change is not acceptable, stop using the Services.
16. General
These Terms are governed by the laws of the state in which Syncore Online LLC is organized, without regard to conflict-of-law rules. The state and federal courts in that state are the exclusive venue for disputes, and you consent to personal jurisdiction there. Syncore may still seek injunctive relief in any court that has jurisdiction.
If a provision of these Terms is held unenforceable, the rest remains in effect. A failure to enforce a provision is not a waiver. These Terms, together with the Privacy Policy and any separate written agreement with a building, are the entire agreement about the Services. You may not assign these Terms without Syncore’s consent. Syncore may assign them, including to an Associate or a successor.
